Frequently asked questions (FAQ)

Everything FlenkyEasyOrder can do for restaurants and guests — explained in detail. FlenkyEasyOrder is 100% free: no setup fee, no monthly fee, no commission.

How does ordering via QR code work?

Every table gets its own printable QR code. The guest scans it with their phone camera — the menu opens right in the browser, no app download, no registration. The guest adds dishes to the cart, can leave a note per dish (e.g. "no onions") and taps "Place order". The order instantly appears on the register and kitchen displays, assigned to the right table.

Which statuses does an order go through — and what does "Start preparing" mean?

An order starts as "New". When staff taps "Start preparing", the guest sees it live on their status page — from that moment on they can no longer cancel themselves, because the kitchen has already started. When the kitchen reports "Ready", the guest gets a prominent notification (banner, sound, vibration). After serving, staff marks the order as "Served" and it leaves the board.

Guests do not have to keep the page open: installed as an app, or with notifications allowed, status changes arrive in the background too.

How does cancellation work?

Staff can cancel anytime — single dishes or whole orders. Cancelled orders can be restored or removed for good.

Guests can only cancel themselves if the restaurant explicitly allows it (it is off by default) — and only as long as the kitchen has not started yet.

What can the service app do?

The service app is made for staff at the table. Every service person signs in with their name, starts their shift and picks the tables they are responsible for — notifications then only arrive for those tables. Several colleagues can share the same tables.

Per table, the app shows all open orders with the total. New orders can be taken right at the table, and when settling up, an overview of all open items appears that is marked as paid with one tap. At the end of the day, one tap ends the shift.

What is the kitchen display?

The kitchen has its own view with the same order list as the register. Both lists stay in sync: dragging an order to a new position (e.g. to plan the preparation sequence) moves it on the other device instantly. The kitchen can set an estimated ready time per order ("ready at 6:30 pm"), finish an order with one tap on "Done", or cancel it with a reason.

How do register and kitchen communicate?

Every order has its own chat between register and kitchen — in both directions. Questions like "can this be gluten-free?" or notes like "table 4 is in a hurry" stay attached to the order. Unread messages show a red counter on the chat icon. The chat is strictly internal — guests never see it.

Can I message my guests?

Yes. Via the envelope icon on every order, the register writes directly to the guest — e.g. "your food arrives in 5 minutes" or "we ran out of fries and picked croquettes". The message appears on the guest's order status page and as a notification on their phone.

Just like a messenger there are tick marks: one grey tick = sent, one blue tick = delivered to the guest's device, two blue ticks = read. Communication is deliberately one-way — guests reply in person to the staff.

What is location-fenced ordering?

The restaurant can save its location and set a radius. Orders from outside are then flagged at the register — or, with the strict setting, not accepted at all. This way only guests who are actually on site can order.

How do I show the guest their bill?

Every order has an "Invoice" button. It opens a full-screen billing view — made to present to the guest right at the table on the tablet: all items, quantities, line and total prices. With VAT enabled, the included tax is shown in small print next to every line item and the total.

How does VAT work?

VAT can be enabled in the settings. The menu administration then offers a 7% (reduced) / 19% (standard) toggle per dish. All prices remain gross — the included tax is only broken out on the invoice. The tax rate is snapshotted with every order, so later changes never apply retroactively.

Can I use a currency other than Euro?

Yes. The register app's settings let you pick any currency sign (default: "€"). The chosen sign appears everywhere prices are shown — in the guests' menu, on the order cards of register, kitchen and service, and in the billing views. The prices themselves stay unchanged; no conversion takes place.

How does my menu get into the system?

Simply photograph the printed menu or upload it as a PDF — FlenkyEasyOrder automatically recognises dishes, descriptions, categories and prices. Before anything is saved, staff reviews and corrects all entries (especially prices). After that everything is managed online: adjust prices, mark dishes as "sold out" (they instantly disappear from the guest menu) or add new items.

How do tables and QR codes work?

Tables are created with a number; each table gets a printable QR code. Deleting a table disables its QR code immediately — but it moves to the "deleted tables" list and can be restored from there with the very same QR code. Codes you already printed and glued on stay valid. Permanent deletion removes only the table — its orders stay and keep showing up in the revenue overview, then without a table number. A table with open orders cannot be deleted permanently.

Can I serve several groups of guests at one table?

Of course — in that case print QR codes for "Table 1b", "Table 1c", … and give every additional group its own QR code.

Can only one guest order?

The first guest to scan the QR code becomes the table owner. They can optionally unlock ordering for further guests who scan the QR code.

Can I close the restaurant temporarily?

Yes — with the open/closed switch in the settings. While closed, guests can still browse the menu but cannot place orders; a banner explains why. Handy for closing days, kitchen closing time or rush hours.

Are there apps for guests, register, kitchen and service?

Everything runs right in the browser and installs to the home screen with one tap — for guests as well as register, kitchen and service. Installed apps launch full-screen and speak up with notifications, e.g. when food is ready or new orders arrive. The register offers ready-made QR codes under "Apps" to set up kitchen and service devices.

What language does the backend run in?

The backend can be set to the same languages as this page.

Do I lose my orders when I install the app?

No. At the table you sign in once with your name. If you then install the app (or switch devices), simply enter the same name — and you continue exactly where you left off, with your orders and your table.

How do I delete my account?

With one click: in the register app under "Profile", tap "Delete account" (your password is asked once for safety). This removes the account and all data — menu, tables, QR codes and the entire order history — completely.

What does FlenkyEasyOrder cost?

Nothing. FlenkyEasyOrder is 100% free — no setup fee, no monthly cost, no per-order commission. Register, scan your menu, stick on the QR codes, go.
